Artificial Intelligence Acceptable Use Guideline
The use of Artificial Intelligence (AI) tools has become pervasive in all aspects of University life. Generative AI applications are capable of producing novel content, such as text or images in response to user prompts, while AI agents can independently perform tasks, offering the possibility of significant productivity gains through automation. This represents a transformative opportunity for the University, but also introduces significant cybersecurity risk.
The AI landscape is evolving rapidly. As such, this guideline will be regularly reviewed and updated to adapt to new developments, such as to include new University-approved AI tools as they become available or when there are major AI platform changes.
This guideline replaces the previous 'Information Security Guidelines for the Use of Generative Artificial Intelligence' (November 2024).
Key changes and updates from the previous guideline include:
- The scope of this document has been expanded to include all forms of AI, not just generative AI.
- This document provides guidance on specific tools/LLMs. It is focused on the major LLMs and isn’t intended as an exhaustive list of available AI tools/models.
- There is a tight linkage between this document and the Data Classification Policy with AI-specific data handling recommendations for each data classification level.
- Added guidance around AI usage disclosure.
- The document includes a university-specific list of permitted and unauthorized use-cases.
- Added guidance for specific AI use-cases, including AI in Hiring, Agentic AI, Coding with AI, and AI in Research. This section and the permitted/unauthorized use case table are parts of the document that are intended to be updated as more use-cases are defined/discovered.
- The previous generative AI guideline only focused on security risks. That information is retained and updated in Appendix A, and now includes risks related to AI agents.
